Terms and Client Policies

Pricing will be communicated before work begins through a quote, invoice, proposal, or service agreement.

Remaining balances must be paid according to the due date listed on the invoice or contract.

Final high-resolution photographs, completed videos, website transfers, design files, or other final deliverables may be withheld until the account is paid in full.

Additional services requested after a project begins may result in additional charges.

Clients should provide as much notice as possible when cancelling a scheduled service.

Booking retainers are generally non-refundable because time has been reserved and preparation may have already begun.

Any additional payments beyond the retainer will be handled according to the applicable service agreement and the amount of work already completed.

FW Creative Studio understands that unexpected situations happen.

Clients may request to reschedule a session or project. Approval is subject to availability.

Repeated rescheduling or significant changes to the original project may require a new retainer or additional fee.

Clients are responsible for arriving on time for scheduled sessions.

Late arrival may reduce the amount of available shooting time when another booking or obligation follows the scheduled session.

Clients who do not arrive and do not communicate may be considered a no-show. Booking retainers may be forfeited and a new retainer may be required to schedule another date.

Outdoor photography and videography may be affected by weather.

When conditions make a session unsafe or prevent the intended work from being completed, FW Creative Studio may recommend rescheduling.

FW Creative Studio is not responsible for delays or cancellations caused by circumstances beyond reasonable control, including severe weather, emergencies, illness, location restrictions, equipment failure, power or internet outages, or similar events.

When possible, reasonable efforts will be made to reschedule or provide an alternative solution.

Clients are encouraged to communicate their vision, preferred style, inspiration, intended audience, and project goals before production begins.

FW Creative Studio maintains creative discretion regarding composition, lighting, editing, color, pacing, transitions, music selection, and other artistic decisions unless specific requirements have been agreed upon in writing.

Reference images or videos may be used for inspiration but cannot guarantee an exact recreation of another creator's work.

The number of revisions included will depend on the service or package purchased.

Revisions generally cover reasonable adjustments to the existing project.

Major changes to the original concept, additional editing, new footage, new graphics, redesigns, or changes requested after prior approval may require an additional fee.

Estimated turnaround times will be communicated before or during the project.

Delivery times may vary depending on project size, complexity, revision requests, client response times, and workload.

Rush delivery may be available for an additional fee when scheduling allows.

Clients will receive the number and type of edited images included with their selected service or package.

Unedited photographs, rejected images, test shots, duplicates, or other unfinished files are not considered final deliverables unless specifically agreed upon.

FW Creative Studio determines which images meet its professional and creative standards for final delivery.

Video services include the final edited content outlined in the applicable package, proposal, or agreement.

Raw footage is not automatically included.

Requests for raw footage, additional versions, alternate edits, additional formats, or extended editing may require an additional fee.

Website projects are based on the agreed scope, number of pages, features, content, and revisions.

Clients are responsible for providing accurate business information, written content, images, login credentials, product details, policies, and other materials required to complete the project unless content creation is included in the service.

Additional pages, features, integrations, revisions, or major changes outside the original project scope may result in additional charges.

Clients are responsible for ongoing expenses associated with their website, including domain registration, hosting, platform subscriptions, premium applications, or third-party services unless otherwise stated.

Clients are responsible for:

• Providing accurate project information

• Responding to requests for approvals or materials in a timely manner

• Obtaining permission to use locations, products, logos, trademarks, music, photographs, or other materials they provide

• Ensuring participants are aware of the scheduled project

• Obtaining required parental or guardian permission when minors are involved

• Reviewing names, dates, prices, contact information, spelling, and other factual information before approving final content

Delays in receiving required information or approvals may affect the project timeline.

Unless otherwise agreed in writing, FW Creative Studio retains copyright ownership of original photographs, videos, graphics, designs, and other creative work produced by the business.

Clients receive usage rights appropriate to the service purchased.

Purchasing creative services does not automatically transfer full copyright ownership.

Commercial licensing, copyright transfer, resale rights, or exclusive usage rights may require a separate written agreement and additional fee.

FW Creative Studio may request permission to display completed work in its portfolio, website, social media, marketing materials, or other promotional platforms.

Projects involving confidential information, minors, private events, or sensitive business materials may require additional permission before publication.

Specific usage permissions may also be addressed through individual contracts or release forms.

Certain projects may require third-party products or services, including:

• Stock photography or video

• Music licensing

• Website hosting

• Domain registration

• Premium website plugins or applications

• Printing

• Location fees

• Props

• Travel

• Specialized equipment

These costs may be billed separately when they are not included in the original package.

Services performed outside FW Creative Studio's standard service area may require additional travel, parking, toll, lodging, permit, or location fees.

Any known additional expenses will be discussed with the client whenever possible before the project.

Clients are encouraged to download and safely back up final files after delivery.

FW Creative Studio may maintain project files for a limited period but does not guarantee permanent storage of photographs, videos, project files, website backups, or other client materials after final delivery.

A parent or legal guardian must provide required authorization for photography, videography, releases, or other services involving minors.

FW Creative Studio does not knowingly enter service agreements directly with minors.

FW Creative Studio reserves the right to stop or refuse services when conditions become unsafe, illegal, threatening, discriminatory, abusive, or otherwise inappropriate for the client, participants, or creative team.

FW Creative Studio may update these policies as services, business operations, or legal requirements change.

The most current version will be posted on the website with an updated revision date.
